Job Description

The College of Engineering seeks applicants for a Visiting Assistant Director, Engineering City Scholars. City Scholars is a new initiative leveraging University of Illinois’ nationally renowned College of Engineering to build Chicago’s tech pipeline. University of Illinois engineering graduates are fueling today’s top companies. In an effort to attract and retain this talent, the City of Chicago, Engineering at Illinois and Chicago-based company partners are teaming up to provide a unique program that offers students the opportunity to live, work and study in Chicago, while maintaining a competitive course load taught by engineering faculty from the University of Illinois at Urbana-Champaign, but in Chicago and online. Working part-time as interns, students will gain valuable experience in some of Chicago’s most exciting companies and will be connected directly to executives, experts, and civic leaders who make Chicago thrive. Beginning with a small cohort that runs throughout the spring semester (with an optional summer extension), we expect to expand the program in conjunction with our corporate partners. The City Scholars program will help expand the pipeline of the most talented engineers and computer scientists into Chicago. The purpose of the Visiting Assistant Director position is to assist in the administration, coordination, marketing and student support efforts for the Engineering City Scholars program in Chicago. The position works closely with several units within the College of Engineering at the University of Illinois at Urbana-Champaign, as well as business and civic organizations in the Chicagoland area. Specific duties and responsibilities include: Engineering City Scholars Marketing/Recruiting (students and corporate partners):

  • Create a marketing plan to include social media (Facebook, Twitter, LinkedIn, Instagram) and promotional materials (print materials, digital messages and news releases).
  • Collaborate with other departments/student services to effectively market and promote the City Scholars program to target audiences, including the technology community, College of Engineering, faculty liaisons, student organizations, targeted student populations, and business and civic organizations in the Chicago area.
  • Manage recruiting event launch plans creating communications to the Engineering City Scholars candidate pipeline and corporate partners, ensuring all printed materials (brochures, agendas, etc.) are up-to-date and ready for distribution
  • Plan, coordinate and execute all aspects of Engineering City Scholars events and activities for students, corporate partners, alumni and guests including orientation, extracurricular activities, networking events and other programming activities to enrich the student experience while enrolled in the Engineering City Scholars program. Provide support and facilitation for these on-site and off-site events.
  • Program Management
  • Support all aspects of daily operations for the Engineering City Scholars program and related events for students, faculty and corporate partners.
  • Oversee preparation for Engineering City Scholars classes including coordinating with faculty for setup instructions.
  • Assist in the recruitment and placement of all prospective students into the Engineering City Scholars program. This includes gathering all necessary application requirements from students, coordinating with the affiliated academic departments to ensure all admission requirements are met, sending admissions and other related materials to students. Coordinate all student services activities with Urbana-Champaign campus units including enrolling students in the Engineering City Scholars program, student housing matters, addressing related questions and issues, etc.
  • Assist in facilitating the matchmaking process between students and corporate partners. This includes using technology to share student resumes and internship descriptions, capturing student and employer interest and running the matchmaking algorithm.
  • Oversee the maintenance of accurate student records. Maintain up-to-date written guidelines outlining procedures to be used: application and qualification process, course/work schedules, date/calendar/deadlines, standard forms (job descriptions and agreements), outline expectations/requirements for students, employers, advisers, and administrators; circulate program descriptions through publications and electronic media. Maintain critical communications with supporting departments, i.e., financial aid.
  • Conduct program assessment and follow-up studies through electronic communications, direct mail, telecommunications and classroom and company visits. Prepare for and participate in debriefing of activities and events with staff to evaluate goals and effectiveness and identify issues and implement change.
  • Communicate with key stakeholders at Urbana-Champaign campus such as registrar, financial aid, student insurance, and other student-focused operations to ensure Engineering City Scholars processes and procedures are up to date.
  • Work outside of typical hours as required for special events, including nights and occasional weekends. Relationship Development/Management
  • Assist with managing relationships with corporate and civic partners, alumni, and outside vendors by attending meetings and events as needed, and assist in expanding relations with recruiters, College of Engineering alumni, faculty, and University administrators in support of Engineering City Scholars and other college-wide programs as directed.
  • Conduct site visits to Chicago-based technology employers to maintain relations, as well as further expand Engineering City Scholars and promote out-of-the-classroom experiences and learning activities.
  • Work with corporate partners students to address any performance or other related issues regarding student internships.
  • Liaise with the College of Engineering offices/staff for Marketing and Communications, Corporate Relations, Alumni Relations, Advancement, Engineering Career Services, Engineering Administration and academic departments as necessary.

 



Job Requirements 

Minimum Qualifications:

  • Bachelor’s degree
  • 3 years of professional work experience in corporate relations, marketing, student career services/affairs, corporate recruiting, or related area
  • High degree of professionalism and comfort interacting with all levels of corporate representatives
  • Effective communication skills including excellent oral, written and interpersonal communication skills
  • Experience working with social media (Facebook, Twitter, LinkedIn, Instagram)
  • Ability to plan, implement, manage, and evaluate programs/events and projects as well as handle multiple work priorities
  • Possess excellent customer service and public relations skills, and an ability to work effectively in a team environment
  • Experience with information technology including use of the Internet and familiarity with various word-processing, database, spreadsheet, and presentation programs
  • Preferred Qualifications:
  • Three or more years of related experience within a large public university setting
  • Familiarity with engineering, technology and/ or entrepreneurship disciplines or corporate relations in these areas

 

The Visiting Assistant Director position is a full time, benefits-eligible academic professional position appointed on a 12-month service basis. The position may become regular at a later date. The expected start date is as soon as possible after the closing date. Applicants may be interviewed before the closing date; however, no hiring decision will be made until after that date. Salary is commensurate with experience and qualifications.
